How you can plan a Corporate Event


Planning a corporate event has its own special tactics because it is a gathering of business/serious minded people . A business gathering need to be planned with every level of professionalism. These events can be for larger audiences such as conventions or smaller events like conferences, meetings or holiday parties.

Corporate events are held for a number of reasons;

  • Your company might need a morale boost.
  • Training to get all the salesmen on the same page.
  • A weekend of training and team building for management.
  • A time out with clients and prospective clients
Regardless of the reasons, there are distinct steps for planning a corporate event, you don’t have to reinvent the wheel.

1. Come up with the Purpose:

 Regardless of what the event is about, the reason behind it is the foundation on which the plans should be made. The Purpose will help with the concept, hall type, dress code etc.

2. Budgeting:
Have an idea how much it will cost you to achieve excellence. You don’t have to be detailed. But make an estimate for important aspects of the event; Hall rental, Refreshments, Accommodation/lodging, entertainment, Guest speakers/resource persons etc.

3. Search out Venues and Vendors: 
You need a space for your event. You also need to make arrangements with vendors and suppliers. Get a wide range of quotes from different vendors so you can compare cost.


4. Get appropriate decorations:
Do this after you have decided on a final venue, as the décor will have to go with the venue. Keep Décor simple and classy. What a corporate really needs is comfort.


5. Send out invitations: Emailing and invitation cards are recommended ways to invite people. Ensure the people RSVP in time too so you can make provision for adequate resources.

6. Create an extensive to-do list and assign duties. 
Create a master list of everything that needs to be done before the event happens. Include the deadline for when these tasks must be completed. Make notes of who, if anyone, tasks have been delegated to. Follow up on tasks and make sure that everyone is taking responsibility for his assigned duties. One week before and one day before go through the list and double check to make sure that everything has been done.

7.Designate an event runner: This is a position far less glamorous than the name would have you believe. An event runner is a glorified gopher who does everything that needs to be done on the day of the event. You may need more than one even runner if the event in question is large.


While the lead up to the event may be one of the most stressful experiences of your life, you will be the hero of the day during the event. When everyone sees how well the event was pulled off they will remember that you are the one responsible. Remember to share the credit with everyone who has helped you execute the perfect corporate event.
